We keep the pricing simple and continue to ship safeguards that protect your studio.

• New rate-limited billing and resubscribe flows block card testing and accidental double-charges.
• Portal payments now stack unpaid invoices into a single PaymentIntent, surface an enterprise pay box, and optionally pool payouts to one Stripe account for trusts and agencies.
• Security alerts are now noise-filtered, so only confirmed threats trigger escalation while all events stay logged.
• Bank details, payout preferences, and consent IPs are encrypted at rest with AES-GCM for safer invoicing and payouts.
• Weekly anonymous traffic summary emails now show landing, pricing, and signup visits plus visit-to-signup ratios.
• Single-lesson charge flow lets you invoice a drop-in lesson instantly without creating a full block.
• Comparison view and refreshed sandbox previews make it easier to evaluate teacher and enterprise workflows.

📅 Billing period

Your subscription is billed monthly in advance. The first charge occurs when you complete checkout after creating your account.

Subsequent charges occur automatically on the same day each month (e.g., if you subscribe on the 15th, you'll be charged on the 15th of every month).

🔄 Automatic renewal

Your subscription automatically renews each month unless you cancel. We'll charge the payment method you provided at signup.

You'll receive an email receipt after each successful payment. If a payment fails, we'll notify you immediately and retry for up to 14 days.

🚫 Cancellation procedure

You can cancel anytime from your teacher dashboard:

1. Sign in and navigate to Settings
2. Click "Manage subscription"
3. Select "Cancel subscription"
4. Confirm your cancellation

When you cancel:

• Your access continues until the end of your current billing period
• You won't be charged again
• Your data is retained for 90 days in case you want to resubscribe
• You can request immediate account deletion if preferred
• Fees already collected remain payable and are not refunded

💰 Refund policy

No refunds are offered under any circumstances. By starting a subscription you irrevocably waive any right to refunds, reversals, or chargebacks for fees already collected.

If you cancel, your access continues until the end of the current billing period and then stops. Payments already taken remain payable and will not be credited, prorated, or refunded.

Chargebacks for valid invoices result in immediate suspension. We provide extensive sandbox previews and documentation so you can evaluate the product before committing.

We accept all major credit and debit cards through our secure payment processor, Stripe:

Your payment details are never stored on our servers – Stripe handles all payment processing using PCI-DSS Level 1 certified infrastructure.

🏦 Portal payments, stacking, and pooling

Stripe PaymentIntents power the new portal billing experience for teachers, parents, and enterprise admins.

Lesson Ledger retains a 1% platform fee on successful portal card payments; Stripe's processing fees still apply to the payout account.

• Outstanding balances auto-stack into a single PaymentIntent with a refreshed invoice number to reduce duplicate payments.
• Parents and guardians pay through a secure portal pay box — no emailed card forms or ad-hoc links.
• Enterprise admins can pool payouts into one Stripe account for trusts/agencies while keeping teacher ledgers separate.
• Each attempt is idempotent and rate-limited to block card testing while preserving audit logs.

If you prefer to handle payouts individually, disable pooling per teacher from the enterprise billing workspace.

📊 Platform fee & what's included

Portal card payments include a 1% Lesson Ledger platform fee on successful charges; Stripe's processing fees still apply to the payout account. Your subscription covers everything else listed below.

No extra charges beyond the portal fee and Stripe processing for:

Fair use policy: Storage is limited to 5GB per teacher account. Files must comply with our Acceptable Use Policy (no pirated content, no illegal material).

🏢 Enterprise admin tier

The enterprise admin plan is designed for Multi-Academy Trusts, peripatetic agencies, and franchise studios that oversee multiple teachers.

• Tier 2 (£80/month) includes one enterprise admin seat plus up to 10 linked teacher accounts
• You can upgrade to Tier 3 (Enterprise Unlimited) for £150/month directly inside the enterprise admin dashboard; the change takes effect immediately with Stripe proration
• Teachers continue on the standard £10/month plan — the enterprise fee unlocks governance tooling and centralised billing
• Enterprise admins can enforce policies (2FA, retention limits, required templates) across all connected schools
• Centralised billing ensures one invoice and one payment method for the entire organisation, even after upgrading tiers

🔒 Payment failed?

If your payment method is declined:

1. You'll receive an email notification immediately
2. Your access continues for 48 hours
3. We automatically retry payment daily for 14 days
4. You can update your payment method anytime from the dashboard or resubscribe page
5. After 14 failed attempts, your subscription is cancelled and access is suspended

You can resume your subscription anytime by updating your payment details.

⚖️ Billing disputes & chargebacks

Contact us first: If you believe a charge is incorrect, please email NBE@nugentweb.online before disputing the charge with your bank.

We will investigate billing errors and issue refunds where appropriate within 5-7 business days.

Chargebacks:

• If you initiate a chargeback with your bank/card issuer, your account will be suspended immediately pending investigation
• We comply with Stripe's chargeback policies and provide evidence to card networks for legitimate charges
• Fraudulent chargebacks (for services you received and used) may result in permanent account termination
• You remain liable for chargeback fees (typically £15-25) where disputes are found in our favor

To prevent unauthorized charges:

• You can cancel your subscription anytime from your dashboard (no charges after cancellation)
• Update or remove payment methods via Settings → Manage Subscription
• Monitor email receipts after each monthly charge
• Review subscription status regularly in your dashboard

🆓 Free trial access

Every new account starts with a free trial so you can use the full Lesson Ledger workspace with real data before paying. No card is required to begin — just sign up and explore.

• Your trial length is shown during signup (standard length: 30 days).
• You keep every feature: scheduling, invoices, file sharing, portals, and the Suggest a Feature system.
• When the trial ends you either enter billing details to keep teaching or let access lapse automatically.

Once you convert to a paid subscription, all fees remain strictly non-refundable.

🤝 Affiliate program (teachers)

Teacher accounts receive a unique referral link. Each new teacher who subscribes through your link credits your account with one free month automatically.

• Rewards apply only to active teacher subscriptions (Enterprise tiers are excluded).
• Track referrals, activation status, and remaining credits inside the Teacher → Affiliate panel.
• Credits stack up to the cap shown on your dashboard and are applied to future Stripe invoices.

💡 Suggest a Feature rewards

Submit product ideas directly from the in-app Suggest a Feature form. If we implement your request we’ll apply up to six months of free access as a thank-you.

• Teacher accounts receive their reward as future invoice credits.
• Enterprise and Enterprise Unlimited customers aren’t eligible for affiliate rewards, but they can still earn free months for shipped feature requests.
• You'll see submission status and reward confirmations in your dashboard.
